Understanding the assessment of your accommodation request - for exams

Steps for Request Approval

Your request for accommodations will be assessed several times and by different entities.

In order to ensure fair treatment for all students, requests are reviewed in chronological order of submission and according to the degree of completeness of the medical supporting documents.

Below is an overview of this process, which takes approximately 30 days.

  • Review the deadlines for the current academic year.
  • Check and gather the necessary documents for your accommodation request. You can find all the information related to these documents on the page: Gather the necessary documents
  • Fill out the accommodation request form and attach the necessary documents by including them at the end of the form.

Your request is reviewed by the Special Needs Office (BBP) in order to verify that it is compliant.

At this stage, the review is purely administrative and checks, for example (non-exhaustive list):

  • the format of the medical supporting documents
  • personal contact details
  • academic information
  • the history of previous requests

If one or more pieces of information require clarification, the Office coordinator will contact you by email.

If all the information appears to be in order, the request is then submitted for evaluation to a physician from the Student Health Service or to a psychologist depending on the main and additonnal condition.

Your file is reviewed by the health professionals of the Student Health Service (SSE), including a doctor and a psychologist, in order to provide a preliminary opinion on accommodations suitable for your situation.

Your accommodation proposal is submitted for consultation to your Faculty, which will make a feasibility decision. Your accommodation proposal may therefore be accepted or rejected based on the principle of proportionality and other constraints (material availability, feasibility, and any other potential university constraints).

The Special Needs Office adheres to the principle of confidentiality: no medical information or information related to your identity is shared with the Faculties.

Your file is evaluated by the Accommodation Assessment Committee for Special Needs based on the documents you have provided, the preliminary opinion from the health professionals of the Student Health Service, and the feasibility decision from the Faculties.

You receive a positive response email from the Special Needs Office, as well as a registered letter.

The academic advisors of your Faculty will receive a copy of the decision on accommodations validated by the Committee.

You receive a negative response email from the Special Needs Office.

You can file an appeal with the Accommodation Assessment Committee for Special Needs (by sending a registered letter).
