Migration process for the Mail zone

First half of September: information phase

During this preliminary phase, Zone Mail users will be informed of the issues involved and the key dates for the actual migration of their telephony to Zoom. Staff will also learn about how to use the new telephony equipment so that they can decide whether to opt for a headset or a landline phone. Support documentation is posted online ahead of the migration so that users can familiarize themselves with Zoom telephony.

In-person information sessions:

  • Tuesday, September 23, 8:00-10:00 a.m., U600 (Uni Dufour)

  • Thursday, September 25, 2:15-4:00 p.m., MR380 (Uni Mail)

September 25 to October 10: selection phase

From September 25 to October 10, 2025, users will choose between a headset and a landline for their personal line. A form will be emailed to all employees at the site. Those who wish to keep a landline phone will indicate this on the form; those who do not respond will automatically receive a free headset.

Mid-October to mid-November: needs analysis phase

From October 13 to November 14, 2025, expert engineers will count the number of landline phones and headsets needed and prepare for the actual migration.

Mid-November to mid-December: actual migration phase

From November 17 to December 12: the telephone icon is added to the Zoom workplace platform for staff without the need for any updates by users. A team of engineers and electricians will make the telephone changes and connections on a workstation-by-workstation basis.

From November 17: support phase

From November 17 to December 23, 2025, a support hotline will respond to user requests. Expert engineers will make any necessary adjustments and evaluate the migration.
